Understanding the Action Centre & Tasks

Your Action Centre is a hub for all property management tasks and activities. You can run your day from this simple checklist.

Tasks

All your daily activities are now called tasks and they are found in the Action Centre menu. They have types (eg Bill), categories (eg Council Rates), assignees (you or your teammates), and statuses (eg awaiting approval). There are 20+ task types in the Managed App and multiple categories for each. You can see the task type from the Action Centre. It will help to review these so you can find and allocate future requests quickly.

Workflows & Statuses

Each task type has bespoke statuses that will allow all Task Followers to track the progress of the workflow. The PM can skip forward in a workflow however in most instances the status will be updated by you completing actions.

If you jump to Completed, the task will disappear from your Action Centre and be archived on the Tasks tab in the property profile.

Filters & Sorting

The Action Centre defaults to your personalised view, meaning it is filtered to show just tasks that are in your name. To see all open tasks in the agency, click Clear All to remove your name from the manager filter. You can also generate specific reports by using the filters. You can use multiple filters to narrow down the list too.

You can also sort your tasks by using the up adn down arrows at the top of each column.

Customising Tasks

You can create your own tasks and workflows using our Custom Task Type builder. To access this, click Add a task and then click Manage Custom Task Types

A modal will appear and allow you to add bespoke Types, Categories, and Statuses (steps) for your new workflow.

Once you press Done this new task type will be available to use from the Action Centre.

Using Tasks & Actions

Each task in your system has a Due Date and an Action Date. The Due Date is the date you aim to complete this task by (think of it as a deadline). You can push this task back by clicking Snooze or choosing a new date from the date picker. The Action Date is an optional reminder function, so if you need a reminder of a task before the due date, set this to an earlier date.

Tasks also have an audit log, a communication thread, and a document storage section. You can add documents to tasks by clicking Edit and dragging your file into the document section and then clicking Save. Any documents pinned to a task will be available for all followers.

Some task types have actions, eg add a job for maintenance tasks. You can access the task's actions at the bottom of the task.

Adding Followers

When creating a task, you can select its Followers. If a user follows a task, they can receive a notification when the workflow starts (when moved out of draft) and will be able to access the task in their profile.

Remember: regardless of followers, if a task is in draft it's still just visible to the agency.

Sending Messages on Tasks

You can add a reply to any task by clicking Reply in the task actions.

When sending a reply, you can choose your recipients:

- Reply All: A blast communication to tenants and landlords

- Reply Agency: An internal message only visible to your team

- Reply Owners: A message to your owner(s), visible to the owner(s) & agency only

- Reply Tenant: A message to your tenant(s), visible to the tenant(s) & agency only

When users are sent a reply, they are notified via email. This notification shows the message and gives the option to reply directly within the task.

Every reply is time and date stamped for your records plus show who the message was sent to. This means all your communication is recorded and consolidated within the task.
