Adding & Activating Leases

Before you can process rent, you need to add an active lease

Intro

A Lease in our system is a snapshot of your current tenancy agreement. It lets the app know how much the tenant pays and when plus helps you with the day-to-day management of all your properties. You need to enter Leases and Activate them before you can start managing properties on the platform.

Step 1

Head over to the Lease tab in the property profile and click Edit. If you have not created a property profile yet, click HERE and come back to this guide later.

Remember: If you have an existing lease, you can only add an upcoming lease once a termination date has been set.

Step 2

You will now be prompted with our Lease Wizard which will enable you to start by Entering the lease details.

First, you will need to enter your Lease Start and Lease-End dates as per the tenancy agreement.

Once you have entered it, click Next


Step 3

Add the rental amount and frequency in.

The app will auto-calculate the weekly amount to fortnightly or monthly payments if selected.

Click Next once entered in.

Step 4

Enter the Bond ID and the amount held.

If you are not aware of the amounts or the ID, you can leave them empty and click Next

Step 5

You then enter the First Payment date and click Next.

If you're onboarding an existing tenant and lease, use Paid to date + 1 day.
If this is a new tenancy, use the lease start date.

IMPORTANT: The First Payment is the day you want the tenant to start paying in the Managed App. For Example, if a tenant is 'paid to' the 15th July in the old software, their First Payment in the Managed App will be the 16th July.

Step 6

If you need to collect a Deposit/first month's Rent upfront, enter the amount required from the drop-down, then click Next. Learn more here.

IMPORTANT: If no deposit is required, or if it is an existing tenancy that's being moved from another system, simply leave this section as $0

Step 7

Add your preferred start date and ongoing frequency for your Inspections and click Next. E.g. Your inspection may be on the 1st of March and then every 6 months thereafter. This will auto-create the Routine Inspection tasks for you going forward.

Step 8

Upload any tenancy documents or reports and click Next. If you do not have any, please click Next.

Step 9

You now need to the tenant to the lease. Add their details and click Next. If there are multiple tenants living in the property, create a profile for each by clicking Add.

Step 10

Review your lease summary and if you are happy with the details, click Confirm.

If you would like to make changes, click on Previous.

Step 11

You can now click Activate to confirm all the lease details are correct and you are ready to start processing payments.

Reminder: If you have requested the tenant pay a deposit, you won't be able to activate this lease yet as they need to pay that amount first.

The system will suggest some fees in the popup menu. You can add, edit or remove fees then press Continue. If no fee is being collected, just delete the suggested bills and click Continue

Your lease is now active and the Transactions tab will be populated with the next payments automatically.
